CEB Valtera (“Valtera”) (“we” or “us”) is committed to protecting your personal information. 2. Information We Collect

In General. Employees of client organizations are directed to our Website through various methods, including email and paper invitations. We may collect and store any personal information you enter on our website or provide to us in some other manner, such as when you participate in a survey or assessment, register to receive one of our white papers, subscribe to our blog, request information from us, or contact us with a question. We may also collect additional personal demographic information about you from your employer if your employer is a participant in one of our programs or services. Personal information is data that identifies you, or that can be combined with other information to identify or contact you, and includes (but is not limited to) your name, business or personal email address, job level, organization, demographic information, and tenure. We strive to limit the types of personal information that we collect to information that helps us accomplish our business purposes.

Information from other sources. We may periodically obtain both personal and non-personal information about you from other sources. Examples of information we may receive include updated contact information and additional demographic information.

Information collected automatically. When you visit our Website, we automatically collect and analyze certain information about your computer. This information includes, but may not be limited to, the IP address used to connect your computer to the Internet, information about your browser type and language, the date and time you are accessing our Website, the content of any undeleted cookies that your browser previously accepted from us, and the referring site address.

3. How We Use the Information We Collect

We use survey and assessment data to report back respondent opinions on various topics of interest to the client organization and to prepare detailed assessment reports. With permission of the client organization, data may also be used for research purposes. Survey data is usually summarized in aggregate form, but in all cases the minimum number of respondents required for reporting results will always be posted and adhered to. Demographic information may be used in combination with the survey data to provide further insight into the data.

We may also use the information we collect about you to:

  • facilitate our surveys and assessments;
  • respond to your requests, and to comments and questions you submit to us;
  • engage in research and analysis in order to maintain, protect, and improve our programs and services, as well as develop new services;
  • generate anonymous and/or aggregated reporting;
  • enforce the legal terms that govern your use of the Website;
  • enhance our network and our products and services; and
  • ensure the technical functioning of our Website.

If you submit your information to us in connection with requesting a white paper, asking a question, or otherwise voluntarily on the Website, we may communicate with you about surveys, assessments, promotions, products, and services that we believe may be of interest to you.

4. Disclosures of Personal Information

Survey and assessment data will be shared with the client who requested the survey or assessment. Such data may also be shared with other parties, such as vendors, if requested by the client. All project material is kept confidential including personal information collected or transferred for survey purposes, survey content, survey data results, participant information, and all communications with our clients.

CEB Valtera does not disclose any project details or personal information to any third party without prior written approval, except that we may share personal information with other companies or individuals in the following instances:

  • Personal information collected or transferred for survey or assessment purposes may at times be shared with service providers and third party agents to process on our behalf. Before providing them with any personal information, we require these service providers to be contractually bound by the same data protection standards contained in this Policy.
  • For legitimate business purposes connected with the provision of goods, services, and benefits for clients and users of CEB Valtera products and services. Where information is shared with a third party for a legitimate business purpose, we will seek reasonable assurances from that third party that the personal information will be processed for legitimate reasons and appropriately protected.
  • Personal data collected for assessment purposes will be shared with the client on whose behalf we conducted the assessment.
  • In response to subpoenas, court orders, or other legal process; to establish or exercise our legal rights; to defend against legal claims; or as otherwise required by law. In such cases we reserve the right to raise or waive any legal objection or right available to us.
  • When we believe it is appropriate to investigate, prevent, or take action regarding illegal or suspected illegal activities; and to protect and defend the rights, property, or safety of CEB Valtera or its affiliates, our clients and users, or others.
  • In connection with a corporate transaction, such as a divestiture, merger, consolidation, or asset sale, or in the unlikely event of bankruptcy.

We also may share aggregate or anonymous information with third parties, including advertisers, investors, and partners. Aggregate or anonymous information does not contain any personal information, and its use and disclosure is not subject to the terms of this Policy.

5. Choices About the Use of Your Information

CEB Valtera does not disclose any personal information, whether collected through its Website or transferred from a client contact, to any other third parties except as explained in this Policy.

We believe that it is important that individuals are given the opportunity to exercise choice with respect to how their personal information is collected and used. If we propose to use your personal information for any purposes other than those described in this Policy or any service-specific privacy notices, we will allow you a convenient way to opt-out of such further uses, such as by including an opt-out mechanism in any email communications we may send you.

6. International Transfers of Personal Information

We operate the Website and the Valtera services in the United States and, depending on your country of residence, the submission of personal information to our Website may involve some transfer of personal information to the United States. In addition, we may transfer personal information to our affiliate companies in India, the United Kingdom, Germany, Singapore, and/or Australia for certain processing operations. You should be aware that privacy laws in the United States, India, Singapore, Australia, Germany, and the United Kingdom may not provide protections equivalent to those of your country of residence. We have taken steps to ensure that appropriate levels of protection necessary to maintain the security and quality of your personal information are in place and that any transferred data is processed only in accordance with this Policy.

7. Access and Correction of Personal Information

Employees participating in a CEB Valtera survey or assessment should contact their HR department to verify and update their personal information if not correct. Any data entered by a respondent is assumed to be correct. Individuals can change their answers prior to submitting a survey, but once a survey is submitted, the information collected is assumed to be correct.

All users of our products and services can request access to any personal information that we hold about them and ask us to correct any personal information which may be inaccurate, except where the law requires otherwise. 8. Information Security

We have implemented reasonable technical and organizational security measures to help protect against unauthorized access to or unauthorized alteration, disclosure, or destruction of personal information. Unfortunately, no data transmission over the Internet can be guaranteed to be entirely secure, and we assume no liability for any damage suffered by you caused by the interception, alteration, or misuse of information during transmission.

We make reasonable efforts to restrict access to personal information to employees, contractors, and agents who need to know that information in order to operate, develop, or improve our programs and services. We subject our third-party agents to contractual controls to ensure that they apply suitable protections to any personal information they access or receive from us.

To provide increased value to users of our Website, we may provide links to third party websites or resources. We do not exercise control over these websites or their privacy practices, and any information you provide to those sites is subject to the privacy policies of those sites, and not this Policy.

10. Safe Harbor

CEB Valtera complies with the U.S.-EU Safe Harbor Framework and the U.S.-Swiss Safe Harbor Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information from European Union member countries and Switzerland, and has certified that we adhere to the Safe Harbor Privacy Principles. We will fully investigate any and all complaints and take appropriate action where necessary if violations of the Safe Harbor Privacy Principles are found. Any inquiries or complaints will be responded to in a timely manner, and a member of our staff will follow up on all issues to make sure they are handled appropriately. In the event that CEB Valtera and the client cannot come to an agreement to resolve a dispute regarding HR data that is subject to this Policy, we agree to have the EU Data Protection Authorities or the Swiss Federal Data Protection and Information Commissioner serve as the recourse mechanism, and we will be subject to the determinations of those bodies. For unresolved complaints regarding other types of data (non-HR data), either the EU Data Protection Authorities or the American Arbitration Association will be used as the independent recourse mechanism. Any complaints about our adherence to the practices described in this Policy or non-compliance with the Safe Harbor Principles should be sent to the mailing address or email address provided below.

11. Children

Our Sites contain business-related content and are specifically aimed at and designed for use by adults. We do not knowingly solicit or collect personal information from or about individuals under the age of 18 years.

12. Changes to this Policy

This Policy may change from time to time. If we make material changes to this Policy, we will post any Policy changes on this page. If we feel it appropriate, we will provide a more prominent notice (including, for certain services, email notification).
